Step 1: Select MICR Printer |

Your first step is to select a MICR printer. There are two main forms of MICR printers. First is a regular printer capable of printing with MICR toner cartridges. Second is that same printer but slightly modified by a third party in order to add some enhanced options and security features. Both are safe and secure- depends on your needs and how deep your pockets are. Check if your existing laser printing is capable of accepting MICR toners. Many popular laser printers are MICR toner compatible.

Step 2: Purchase MICR Toner Cartridges |

|
Your next mission is to purchase ABA/CBA approved MICR toner cartridges. These MICR toners are specially-formulated magnetic ink cartridges that meet a number of strict requirements to ensure reliable and secure check printing. Finding the right MICR toner is easy and you can save even more by buying in bulk. Keep in mind that the recommended shelf life is about 12 months so stock up accordingly.

Step 3: Setup or Configure Payroll Software |

Check-printing software is available from a number of retailers or for download online. Most organizations already have payroll systems in place and it is usually just a matter of using the ‘check printing’ functionality or purchasing a program add-on. If you look hard, you’ll find some free software online. Be sure it includes the E-13B MICR font.

Step 4: Stock Up On Blank Check Stock |
|
|
Blank check stock is not hard to find. You can order them from an online retailer or buy them directly through your financial institution. Be sure not to include any banking information when ordering check stock. That bottom inch of each cheque is where you will be printing your MICR lines.

Step 5: Learn A Few Basic Guidelines |

|
1) Don’t crap out on blank checks
Low quality paper can tear and is easily damaged. Your printed checks will be read by dozens of MICR scanners at various financial institutions before returning to you. Inferior paper will cost you in the long-run. |

2) Double-check your checks with your bank
Go to your bank and have them verify your paper and 15-30 sample cheques. In case you missed a step in setup, it’s always good to confirm that you’re on the right track. It would be a pain to print 1000 checks only to find out your bank’s MICR scanners are unable to read them. Rarely are there issues but we have heard horror stories. |

3) MICR toner lasts about 12 months
Unlike regular toner cartridges, which can be stored for up to three years under the proper conditions, MICR toner cartridges have a shorter life span. Lasting only 12 months, MICR ink contain a number of extra properties that can begin to break down over extended periods of time. |

4) Make sure your printer or software comes with the right MICR font
In North America, we generally use the E-13B MICR font. Both modified MICR printers and check printing software typically have the MICR font built-in. If neither your device nor your program is equipped with the MICR font, you must purchase and install it yourself. It is available online and installs easily- but it’s not cheap. |

Finally, remember that check printing with MICR is a good thing. It saves time, saves money, minimizes waste- and you’re likely to regret having waited so long to take the plunge. Study up on MICR printers, grab some MICR toner and all that’s left is a decent program and some good blank checks.
